How to be media savvy
Visit the Australian Science Media Centre (AusSMC) online media resource to learn how to prepare yourself for media exposure - such as news interviews - and use social media to communicate your research and teaching.
The Office of Marketing and Communications (OMC) now uses Request Tracker (RT) to log and track jobs from around the University. With numerous people involved in versions and approvals, this has proven effective at monitoring real-time job status. To submit a release through the RT system, Communications Officers need to email firstname.lastname@example.org to ensure the release is logged in the system. They will receive a job number.
Please ensure you follow OMC file name conventions in the email subject line. e.g. ‘HABS water 150409’. This helps with recording and tracking emails relating to each job.
Prepare a draft media release

Submit a draft media release
Email your supervisor-approved draft media release to the School Communications Officer, Emma Lee (email@example.com), for checking and to obtain approvals from the Head of School and Faculty. The Communications Officer will submit the final approved version to OMC for distribution through the RT system.

Consult the UQ Style and Production guide:

UQ Experts online directory
The UQ Experts online directory has been specifically designed for media and allows them to search for UQ staff across a broad range of fields who are willing to be contacted by media for comment and interview.
Researchers who are interested in being listed as an expert can do so here.
The Conversation is a not-for-profit online collaboration between academics, researchers and journalists to provide evidence-based analysis and commentary, which is free to read and republish. It’s based on a principle that UQ values: unlocking expert knowledge for the benefit of the wider community.

UQ Business Cards, Envelopes, Letterhead, Certificates, and With Compliments slips can be ordered through the Ergo Asia (UQ Print Manager) online store or by using the templates available on the P&F Gatton Printery website.

UQ Events online calendar
UQ Events is for use by staff and students to promote their events around the University. It provides you with opportunities to add events, search for events or obtain an event feed. Follow the step by step instructions to submit an event. UQ Events is for non-commercial use only and will not carry paid advertising.
UQ Update is a weekly newsletter email compiled by the Office of Marketing & Communications (OMC). It is distributed each Monday to all UQ staff.
Please lodge items for UQ Update through the online request form and please lodge volunteer items here. Items must be submitted by noon on Thursday to be included in the following Monday's issue. Please note items can only be included for one edition unless special circumstances exist. Enquiries can be directed to OMC on (07) 3365 2619. Both forms can also be found in the footer of every issue of UQ Update.
All staff who submit to UQ Update are reminded that submissions are to be no longer than 100 words and need to be sent by 12pm Thursday to be included in the following week’s edition.
UQ News, UQ Contact and Discovery at UQ
The OMC publication team welcome editorial contributions via email@example.com. These publications are planned well in advance of printing.
All advertising for The University of Queensland is created and placed through the Office of Marketing and Communications (OMC). This is to ensure consistency in the promotion of the UQ brand and cost effectiveness in advertising expenditure.
The OMC’s Advertising website includes further information on how to create and place advertisements, copies of media kits including rates and specifications, and information on newspaper features. If you can't find what you need here then please contact the Advertising Office.
Non recruitment advertising
Non recruitment advertising refers to any advertising activities that are not targeted at recruiting UQ staff. Undertaken by Faculties, Schools and Units, non recruitment advertising can appear in any media including press, radio, billboards, and online. It can be used for:
promoting programs and courses
providing the public with information e.g. tenders, expressions of interest, public notices, legal notices
recruiting volunteers for clinical trials
Staff recruitment advertising
OMC assists UQ Faculties and departments to book paid staff recruitment advertising in print and online media. Bookings made through the Advertising Office are eligible for discounted rates on most national newspapers (through UQ's membership of the Queensland Media Group).

UQ Contact magazine
Advertising is welcome in the university's core alumni publication UQ Contact. The print magazine is also available online in pdf and flipbook format, and as fully downloadable iPad or Android app. Find out more.
I need to get brochures/pull-up banners, etc produced. What do I do?
If you use external designers, you should provide them with a copy of the Corporate Identity guidelines and ask them to email OMC Design to access the brand elements (e.g. the UQ logo and UQ device). Materials produced by external designers should be sent to OMC Marketing to ensure they are on-brand and compliant with the Corporate Identity guidelines.
Printing - Ergo Asia
Ergo Asia Pty Ltd has been appointed as The University of Queensland's Print and Promotional Merchandise provider.

For all new work you will need to provide the description, volume, format, graphics and colour, budget, and delivery details. For repeat work, it is helpful to provide an example of the previous work, the specification used, and the price paid.

OMC provides a complete event management service for key corporate University functions and events. Event staff work in conjunction with other teams in OMC to ensure events are supported by appropriate marketing and communications activities including advertising campaigns.
OMC primarily organises UQ’s large student recruitment events held on campus throughout the year including UQ Open Day (St Lucia campus), Careers that shape the world; Postgraduate Advice Night and OP Results Advice Night. How do I hire a UQ pull-up banner for an upcoming event?
OMC offers UQ areas and departments the opportunity to book faculty specific and generic pull-up banners for events and activities. If you are a UQ staff member you can hire a UQ pull-up banner, wing banner or tablecloth for your next event or activity.
To hire an item, please complete the online booking request at least 10 days prior to when you would like to collect the banner/s. Completion of this form is not confirmation of your booking. OMC staff will assess the request and confirm availability of the requested items by return email. All requests are subject to availability.

Does OMC have any preferred event suppliers?
OMC have relationships with a range of suppliers that we use for our events including equipment hire, catering, photography, entertainment and audio visual suppliers.
Does OMC supply UQ merchandise?
Where can I get a UQ purple polo-shirt?
OMC coordinates a large polo-shirt order at the beginning of the year, where each faculty provide their requirements for the year. Before contacting OMC, please ask marketing and communication staff in your area to see if they have shirts available. If your area does not have any polo-shirts and the shirt is for TSXPO, UQ Open Day, Postgraduate Advice Night or OP Results Advice Night, please email the OMC Marketing team. Alternatively, you can purchase UQ polo-shirts through the supplier, Ergo (email@example.com).
If you would like to purchase your own UQ polo-shirt, there are restrictions with regards to the colours and design. Colours are limited to the primary UQ brand colours (gold, purple, green, black) and the design should include the UQ logo on the left and the faculty/school/department embroidered on the right. We recommend keeping to these colours and design so that the shirts are consistent throughout the university and with UQ’s Corporate ID guidelines. Please contact the Marketing team at firstname.lastname@example.org if you would like to discuss design options further.
Digital and website banner advertising
The Office of Marketing and Communications offers UQ areas and departments the opportunity to book advertising space on UQ websites and digital signage to help promote key events and activities. A summary of the spaces available is included below.
Digital entrance banners
Recently installed on Sir Fred Schonell and Coldridge Street. Used to promote University functions and evnets, corporate messages, and campus activities campus activities, corporate messages, initiatives and key events. Must be relevant to UQ students and staff.
UQ homepage banners
Used to highlight achievements of the university as a whole, promoting key stories, events and initiatives that showcase the UQ Advantage. Must be relevant to multiple audiences.
UQ homepage spotlights
Used to promote events, activities and initiatives to the UQ community. May be relevant to smaller audiences and does not warrant a homepage banner.
UQ Events banner
Banner available to further promote key university events and activities. Events must be relevant to a wide audience.
my.UQ Student page spotlights
my.UQ acts as a portal to information and websites important to current students. The site is accessed regularly and can be a great way to promote events and activities to current students.
If you are interested in booking any of these spaces, please review the guidelines to determine suitability and then complete the online booking form at least 10 days prior to when you would like the banner to appear. OMC will review your booking request and respond within 2-3 business days. All requests are subject to availability and must comply with guidelines. Managing requests to film on campus
All filming requests are to be submitted to the Corporate Relations Manager in the Communications team by phoning 07 3365 1120, 0413 601 248 or emailing firstname.lastname@example.org.
Protocol is responsible for overseeing events and visits by Regal, Vice-Regal, Federal and State Ministers, members of Diplomatic corps and foreign government dignitaries. Protocol also manages events and visits by other VIPs such as Presidents of International educational and research institutions who call upon the Vice-Chancellor.

When should I involve Protocol?
The Protocol team provides professional event management support and advice to the Office of the Vice-Chancellor and UQ staff to plan and manage key University events and official visits.
Protocol's involvement with VIP events or visits will depend on the level of guests in attendance. To find out if your event or visit requires Protocol involvement, please visit the Protocol website or email us.
The University logo is the cornerstone of our corporate identity and is the primary symbol used to identify and represent the University. The University logo should be used prominently and consistently on all UQ communications.
Information regarding the correct usage of logo is available in the section entitled "The Logo" in The University of Queensland Corporate Identity Guidelines. The available configurations of the logo are also specified in this document.

For logo requests, please include the following information:
- Name and contact phone number
- UQ area/department and intended use of the logo
- Computer program/s you will use
- Logo size required
Method of output you will be using (printing to a desktop, colour/B&W printer, using an external supplier, on-screen graphic etc).
UQ staff are encouraged to use the UQ Corporate video for external presentations.
If you would like to share the video, copy the URL or embed code that appears when clicking "share" at the top of the video (see the airplane icon). Vimeo also provides the option to download .MP4 files, just click Download under the video title.
